Our Policies

At Sunflower Wellness Services, we believe that clear communication and mutual understanding create the best foundation for therapy. The following policies are designed to ensure that all clients receive respectful, consistent, and professional care.


Appointments & Cancellations

Please provide at least 24 hours notice if you need to cancel or reschedule a session.
Sessions cancelled with less than 24 hours’ notice will incur a $100 cancellation fee.
Standard therapy sessions last 50–55 minutes. Requests to adjust session length must be discussed in advance.


Communication

You may leave a voicemail or send a message for scheduling purposes.
Messages are typically returned within 24 hours on business days.
Please note that email and text are not secure and should only be used for scheduling, not for therapy discussions.
If you are experiencing a crisis, call 988 (Suicide & Crisis Lifeline) or 911.


Telehealth

Telehealth sessions are available to clients within Oregon using secure, HIPAA-compliant platforms.
You may withhold or withdraw consent for telehealth at any time.


Confidentiality & Social Media

We maintain strict confidentiality in accordance with Oregon law and professional ethics.
To protect your privacy, we do not accept friend or contact requests on social media from current or former clients.


Electronic Communication

While we take every precaution to safeguard your information, electronic communication (text, email, or telehealth) cannot be guaranteed to be 100% secure.
These methods should be used only for administrative or scheduling purposes.


Minors

Clients under 18 years old must have a parent or guardian’s consent for treatment.
Parents may have limited access to treatment information depending on the client’s age and circumstances.


Ending Therapy

If you wish to end therapy, please discuss this with your therapist so we can ensure a thoughtful, supportive closure.
If therapy is ended for any reason, we can provide referrals to other qualified professionals upon request.


Superbills & Out-of-Network

Superbills are generated monthly and can be downloaded from your client portal or emailed to you upon request. If you need a superbill for a specific date range, just let us know and we’re happy to help. Please note, we cannot guarantee reimbursement; every insurance plan is different. We cannot change or modify diagnosis codes or documentation for the purpose of obtaining reimbursement. Clients are responsible for submitting superbills to their insurance provider.
